BOOTH BOOKING & ARTIST REGISTRATION INSTRUCTIONS

Booth Booking Option

If you are a Studio or an Artist booking a booth, use Booth Booking option. You will be able to fill artist info in the same form.

Fill Contact Details

Fill studio and booking contact details, so we can get in touch with you about your booking. Please use international format for your phone i.e. +64 for NZ.

Choose Required Booth

We have options ranging from a half a booth for one artist, up to double booth for three artists working alongside each other. Should you require multiple booths, please fill the Additional Requirement field.

Fill Artist Details

To be featured on our website in the Artist Profiles, use the Artist Registration section of the form. If you provide an email address we will forward clients' bookings straight to your inbox. Once your appoinment schedule is full, let us know and we'll stop further emails.

Submit

Once done, submit your form. We will get in touch with regards to your booth booking and update our website with your Artist info.

PRIVACY POLICY

We collect personal information from you, including information about your:
• name
• contact information
• location
• studio

We collect your personal information for the purposes of:
• organisation of the event
• event and artist promotion
• we may use your details to keep you up-to-date with relevant updates

We will not sell or share your information to any outside party except where required by law.

We keep your information safe by storing it in encrypted files and only allowing authorised staff/contractors to use it.

You have the right to ask for a copy of any personal information we hold about you, and to ask for it to be corrected if you think it is wrong.

When paying via bank transfer, please ensure any bank fees that may be applicable are charged to your account. If they are deducted from your registration payment, NZTE Ltd will consider that you have not paid in full.

TERMS AND CONDITIONS

Early Bird prices are available until 30th June 2019.
To lock-in Early Bird pricing, full payment must be paid within 7 days of registration.

Discounted Rates are available until 31st December 2019.
To lock-in a discounted rate, a 50% deposit is required within 7 days of registration.

The remainder is to be paid by 14th February 2020.

Full Price booths require a 50% deposit to be paid within 7 days of registration.
The remainder is to be paid by 14th February 2020. If the Exhibitor has not paid in full by 14 February 2020, NZTE Ltd can not guarantee a booth will be allocated.

NZTE Ltd reserves the right of refusal to any registration.

New Zealand Tattoo Events Limited (NZTE Ltd) is The Organiser. The Exhibitor means the hirer of the
booth from which they are allocated to exhibit goods or services from.

Provided the total fee has been paid, substitutions of participants are allowed seven (7) working days
before the event.

In the case of a cancellation within 30 days of the event, the Exhibitor agrees to a non-refundable administration fee of 50% of the total booth cost to be payable to NZTE Ltd. In the case of a cancellation within 7 days of the event, the Exhibitor agrees to a non-refundable cancellation fee of 100% of the total booth cost, payable to NZTE Ltd. 

If, due to unforeseen events – e.g. natural disaster; the event is unable to be held, NZTE Ltd will refund 50% of the registration fee paid by the Exhibitor.

All Exhibitors are responsible for their own insurance during the period of the convention.

All Exhibitors are liable and responsible for their booth and it’s operation.

NZTE Ltd provides security outside of the Extravaganza hours, however Exhibitors are responsible for
their own security during Extravaganza hours.

All Exhibitors must comply with regulations and laws such as Health and Safety regulations, including
any set out by the Venue (BayVenues).
All Exhibitors must conduct themselves in a professional manner, at all times the ExtravagaNZa is open
to the public.
All Exhibitors selling goods to the public must comply to New Zealand consumer laws, this is the
responsibility of the Exhibitor. By agreeing to these terms and conditions, the Exhibitor indemnifies
NZTE Ltd of this liability.

NZTE Ltd reserves the right to alter and/or add to the floor plan.

NZTE Ltd reserves the right to terminate an Exhibitors attendance, without prior notice, if the Exhibitor,
or any of it’s employees and/or representatives, fails to comply to the terms and conditions set out herein.

If an exhibitor does not pay the agreed fee within the agreed timeframe, NZTE Ltd will take all reasonable steps to recover the debt, which can include referral to a collection agency.

NZTE Ltd reserves the right to alter and/or add to these conditions where required.

Additional Terms & Conditions for Indigenous Art Exhibitors

INDIGENOUS, TATAU – TĀ MOKO

Indigenuous Artists

Spaces will be arranged according to tangata whenua Maori and individual indigenous nations. This area is offered exclusive to indigenous artists practicing their tatau/tattoo traditions.

Booth Options

You still have a choice of separate enclosed booths within your indigenous space.

Indigenous Art Practices

Profiling your indigenous art practices, dance and costume as a collective is encouraged and we want to accommodate this – contact us if you have any special requirements or further questions A performance stage will be available and other educational opportunities are envisaged.

Indigenous Arts Week

In the week leading up to the festival there will be a Māori hosted indigenous gathering (live-in on marae) of indigenous art, music, culture and tattoo traditions. Registration for indigenous space entitles each artist access to the indigenous and/or Tā moko festival week.

Collaborative Input

There will be opportunity to have visual input into your nation space through collaboration with local artists during the pre-festival gathering.

Registration

Please fill in the booth enquiry and nominate your main nation/culture of representation. Early Bird registration will help us ensure that we can keep a space for you (limited spaces) so we can keep you informed as to the artists participating. Please indicate your registration to TATAU – TĀ MOKO , Indigenuous Arts category on the registration form.

BOOKING / REGISTRATION FORM

We recommend booking booth and all artists and support crew at the same time. Choose Booth Booking + Artists. Please ensure you have social media profiles and portfolio/featured images on hand when booking. It is possible to register artists at a later date, once you have ordered a booth.
